Woods Elementary "Phase In" Letter

Dear Woods Families,

I hope you are all doing well. I would like to apologize now for the length of this email, but it contains important and detailed information for our transition to January schedule. I know we communicated recently that the CUSD Board made a decision on October 21st to wait until no later than January 19th to make a full transition to the Am/Pm Hybrid Model and CUSD Connect. During their meeting, they also made a decision that each school site would make a “phase in” plan to move students toward the January Hybrid / CUSD Connect implementation schedule.   We are thankful for your patience as we work as a site and as grade levels to find the best balance to support both student and staff needs as we plan for a phased-in reopening.

We know the main goal for our district and community is to have as many students return to in person learning as safely as possible. We also know some of our families are nervous about returning their students in person at this time and would like an alternative to the in-person Hybrid model.  Our Buchanan Area is currently developing schedules designed with the objective of having all students wishing to return to a hybrid model in classrooms no later than January 19th.  Our team is committed to finding a way to minimize the change of students’ teachers as well as maximizing instructional minutes.  This is a unique challenge while also implementing the multiple health and safety guidelines required by the Fresno County Department of Public Health and the Centers for Disease Control and Prevention.  Along with instruction, we are working with Campus Catering, Transportation, and Custodial to design the best plan possible for Woods. You should see these final plans for January soon after the Thanksgiving break.

"Phase in" Schedule:
In person learning opportunities for 4th through 6th grades will start Monday, November 9th.
In person learning opportunities for TK through 3rd grades will start Thursday, November 12th.

In listening to the feedback from our parent surveys, we tried to come up with a “phase in” plan that limits the movement of students as much as possible. Unfortunately, to add the expected in person learning opportunities now, we need to make minor adjustments to our current instructional schedule.  Except for TK and Kindergarten, we will keep our “phase in” plan very similar to our current schedule where ALL students in 1st through 6th grades will continue to learn through Zoom online learning with their current teacher in the AM instructional blocks prior to lunch. This will continue Monday through Friday where Wednesday will continue to be early release day and there is no afternoon teacher guided instructional block on Wednesday.

On Monday, Tuesday, Thursday and Friday, after the lunch break, ALL students that have communicated with their teacher, whether you have selected Hybrid in person or CUSD Connect, may choose to take advantage of the in person learning opportunities for their child’s class. If you have not spoken to your teacher prior to today about coming in person, please email them to ensure there is space in a group for your child. There will be a short transition / in person check in time, available at 5 locations on campus, for students coming to in person instruction between 12:30 pm and 1:00 pm. During this time, students will report to a temperature check station, receive a pass to class, and go directly to their classroom where their teacher will be waiting for them to arrive. Students will have time to talk to other peers and prepare for in person instruction starting promptly at 1:00 pm. Students attending in-person instruction will receive instruction from 1:00 pm until 3:00 pm.  Students not attending in-person instruction, will receive direction from their classroom teacher on the schedule for the afternoon learning block.

In person learning opportunities for 4th through 6th grades will start Monday, November 9th.
In person learning opportunities for TK through 3rd grades will start Thursday, November 12th.

TK/Kindergarten:
During our “phase in” plan toward the new schedule for January, TK and Kindergarten students will follow a similar schedule as the 1st through 6th grades. ALL TK and Kindergarten students will attend the first ZOOM online instructional block each day. During the second morning instructional block, ALL students not assigned to attend the afternoon in person learning opportunity for that day, will attend class through Zoom online learning. This is very similar to the current Zoom process we use now. We will be offering an in person learning opportunity in the afternoon for small group instruction. Your teacher will inform you of the in person learning block set aside for your child.

Like 1st through 6th grades, after the lunch break, ALL students, whether you have selected Hybrid in person or CUSD Connect, may choose to take advantage of the in person learning opportunities for your child’s class. If you have not spoken to your teacher prior to today about coming in person, please email them to ensure there is space in a group for your child. There will be a short transition/ in person check in time, available directly outside the TK and Kindergarten rooms. Students arrive for in person instruction between 12:30 pm and 1:00 pm. During this time, students will report to a temperature check station, receive a pass to class, and go directly to their classroom where their teacher will be waiting for them to arrive.

Again, this is an opportunity for in person instruction and we want you to feel comfortable bringing your child to in person learning. If not, your child may attend the 3 hours of Zoom online instruction in the morning with their teacher.

"Phase in" In Person Instruction: (Grades TK through 6th)
We are expected to follow safety guidelines required by the Fresno County Department of Public Health and the Centers for Disease Control and Prevention which will limit the number of students we are able to have in a classroom for in person learning. We have spent much time trying to configure classrooms for the safest and best possible learning environment. We are currently able to have up to 16 students in most of our classrooms, and a few less in the primary classrooms.  To meet the needs of all our students wanting to participate in the in person instruction, and stay under maximum safety capacity, we have split students into two groups, Group 1 (Monday and Thursday), and Group 2 (Tuesday and Friday).  Yes, I know many of you would like more in person instruction and we agree. This schedule is for our “phase in” plan to our January schedule where there will be opportunity for in person instruction more frequently.

“Phase in” in person learning is an opportunity for us to return small pods of students over the next six weeks to implement our system, learn from what works well in the classroom, and make corrections before switching to an Am and Pm schedule in January. This will also provide you and your child with an opportunity to transition back to in person learning with their peers. During this phase in time, we will need your support in communicating with your child how important it will be to follow the explicit directions of their teacher and our staff at school. We want this to be a wonderful opportunity for your child, however, we must ensure the safety of ALL our students and staff. We know it might take some adjustment, and we will work with your child. If this isn’t the right time for your child to transition to in person learning safely, we can discuss this, and your child will have access to 3 hours of Zoom online instruction in the morning. It is our goal to make the in person instruction block as useful as possible. Thank you for working with your child and their teacher.

Coming to School for In Person Learning: Safety Plan
To ensure ALL of our students are as healthy as possible, ALL students and staff will wear masks at ALL times while at school.  If your child has difficulty with wearing a mask or following directions, this might not be the opportunity for them, and they are welcome to attend the morning 3 hours of Zoom online instruction.

Students will arrive on their assigned group days between 12:30 pm and 1:00 pm. Students will walk to one of the 5 temperature check stations located around the school site. We will have stations located at the gate near the basketball courts, near Kindergarten rooms, in front of the school near the marquee, at the entrance near the front of the upper grade wing, and near the front of portable 27 (back of the upper grade wing). Students will wear a mask and wait at one of the cones in a line by a temperature check station for their temperature to be checked. Students with a temperature lower than 99 degrees will receive a sticker and may walk to their classroom where their teacher will be waiting for them. Parents and visitors will not be permitted in the classroom or beyond the check in stations. We may have approximately 300 students on site at enter and exit time and we need to follow all Fresno County Department of Public Health and the Centers for Disease Control and Prevention guidelines. Thank you for assisting us with this process.

Students in TK or Kindergarten will enter / exit through the front doors of their classroom.

Students with Mrs. Dutcher (Rm. 1), Mrs. Otten/Mrs. Waltz (Rm. 2), Mrs. Reiswig (Rm. 3) or Mrs. Henschel (Rm. 4) will enter/ exit the front doors of their building using the doors facing the amphitheater.

Students with Mrs. Griffith (Rm. 10), Mrs. Blankenburg (Rm. 9), Mr. Watson (Rm. 12) or Mrs. Cree Mueller (Rm. 11) will enter / exit their building using the front doors facing the amphitheater.

Students with Mrs. Coyle (Rm. 16), Mrs. Bustos (Rm. 14), Mrs. Gonzales (Rm. 13) or Mrs. Floyd (Rm. 15) will enter / exit their building using the back doors closest to the play fields.

Students with Mrs. Devany (Rm. 17), Mr. Raymer (Rm. 20), Mr. Wolpert (Rm. 19) or Mr. Hedrick (Rm. 22) will enter / exit their building using the front doors facing the amphitheater.

Students with Mrs. Germond (Rm. 25), Mrs. Julie Mueller (Rm. 23), Mrs. Kalashian (Rm. 21), Mrs. Glosier / Mrs. Williams (Rm. 26), or Mrs. Harper (Rm. 24) will enter / exit their building using the back doors closest to portable 27 (Choir Room).

Students will have a learning space that is socially distanced from other students; however, they will still be able to interact with their peers and teacher. If a child needs to use the restroom, they may do so. We will space students out, so we do not have large groups in the restrooms at the same time. Student drinking faucets at the school site are turned off, however, we have a water fill station in the MPR and faucets in the classrooms to fill individual student bottles. We ask that students only have water while at school. Your child’s teacher will communicate with you more specifically about items your child will use in class.

Exiting School after in person learning:
Students will be excused at 3:00 pm from their classroom and we will release a classroom at a time in each wing to provide safe distancing for students.  Students will exit the same doors they enter for their classroom building.  PLEASE have a prior conversation with your child / children about where you will pick them up or how they will get home. Reminder, visitors should not be on site past the check in stations. We want to do this as safely and as orderly as possible. Your patience with this process is appreciated and we will do our best to get your children to you safely and quickly.

Parents, if your child needs to be picked up before 3:00 pm, please call the front office at 327-8800 when you are here in the parking lot and your child will meet you at your vehicle.

Thank you!

We know this is another change you have experienced this year with a schedule. We also know that this is just another change until our Hybrid / CUSD Connect transition in January. We recognize that the schedule will not meet the needs of every family, but we will continue to work with each of you as we move into the next phase of returning.   Thank you for working with us and your patience as we manage this time together. Please let your teacher know if you have any questions or need more information. You may also call the front office at
327-8800 if you have questions regarding the check in process starting Monday.

We will continue to update you as things change and we receive more information from our district, County or State.

Thank you! We appreciate all you do for us and the Woods community.

Have a wonderful day.
